Who can see what

1. Three kinds of access
There are three ways to give someone access. Pick by how much of your work they should see.
- Workspace members see every project and task in the workspace. Use this for your team.
- Delegates work inside your personal workspace on your behalf. Use this for an assistant.
- Project guests see one project and nothing else in the workspace. Use this for a client or an agency.
One person can hold more than one. Your designer can be a guest on a branding project this month and a workspace member the next.
2. Workspace roles
Invite members from the People tab, under Add a person. Three roles to pick from:
- Editor creates and edits tasks across the workspace.
- Admin does all that, and invites people, removes them, changes their role and reads the audit log.
- Viewer reads everything and changes nothing.
Whoever created the workspace is its Owner. An owner controls workspace settings and hands out any role. Each workspace has exactly one. A role change takes effect the moment you make it.
3. Delegates
A delegate works inside your personal workspace as you, capturing, scheduling and completing tasks on your behalf. Usually an assistant.
A delegate cannot touch your settings, your calendar connection or your schedule preferences. Revoke the access from People whenever you want.
4. Invite a guest to one project
Open the project, choose the Guests tab, then Add a person. Type their email address and pick a role:
- Editor creates and edits tasks on this project.
- Viewer reads the project and changes nothing.
They get an email with a link. The link expires after 7 days and works only from the address you typed, so a forwarded copy gets nobody in. Send a lapsed invitation again from the same tab, or revoke one you sent by mistake.
Who can invite. A project owner, plus the workspace owner and its admins. Promote a guest to Owner of the project later, under Change role, and they can invite and manage people there too.
5. What a guest can see
A guest sees the project page and nothing else in the workspace. Its dashboard, tasks, milestones, notes, files and activity are all open to them. They cannot see your board, your other projects or your reports.
An Editor guest creates and edits tasks on the project. Milestones stay read-only for guests, since adding or changing one needs a workspace role. Nobody who is only a guest can archive or delete the project.
6. Guests get their own account
A guest signs in like any other user. Someone new to emeris creates an account on the address you invited, and that account comes with its own Personal workspace. Your client can run their own week in emeris there, and you never see it.
Work inside your project runs on your plan, not theirs. When a guest's own trial ends, their own workspace stops taking new tasks, but yours keeps working for them. Either way they cannot start a new project, in your workspace or in their own, until they have a plan.
7. Remove someone
Remove a guest from the project's Guests tab. Remove a member or a delegate from People. Access ends immediately.
Their account, their workspace and their own data are untouched. What they did in your project stays, because the tasks they created and the notes they wrote belong to the project.
