Workspaces
Updated 6 October 2026
1. Personal and team
Every account gets a Personal workspace the moment it is created. It is yours, it cannot be deleted, and nobody sees inside it unless you invite a delegate.
A team workspace is one you create for work shared with other people. You can belong to as many as you are invited to, and you can own more than one.
Nothing in your Personal workspace is visible to a team. Shared work belongs in a team workspace.
2. What lives in one
A workspace holds tasks, projects, milestones and the people who can see them. A task belongs to exactly one workspace, and so does a project.
Where a new task lands follows its parent. Add a task to a team project and it joins that team workspace, even if you were looking at Personal when you typed it.
Your calendar connection, working hours and schedule preferences are yours, not the workspace's. They follow you everywhere.
3. Switching, and All workspaces
The switcher sits in the header. Pick a workspace and the board, the Planner, the Timeline and Projects all narrow to it. The workspace is in the URL too, so a link you send opens in the right place.
All workspaces is the extra setting at the top of the switcher. It reads across every workspace at once, which is the view to use when you want your whole week rather than one slice of it.
One thing to know about All. There is no active workspace in that mode, so anything you capture there lands in your Personal workspace. Switch into a team first if you want it to go to the team.
4. Start a team workspace
Open the switcher and choose to create one, then name it. You become its owner. Invite people from the People tab and pick a role for each.
An invitation goes to the address you type and works only from that address. Roles are covered in Who can see what.
5. Who can do what
A workspace has exactly one owner, the person who created it. Owners control workspace settings and can hand out any role.
Beneath that sit Admin, Editor and Viewer, and alongside them two kinds of outsider: a delegate, who works inside your personal workspace on your behalf, and a project guest, who sees one project and nothing else. All of them are in Who can see what.
6. Rename, recolour, delete
An owner can rename a workspace and give it a colour, which is what tells two of them apart at a glance in the switcher and on the Spaces view of Home.
Deleting a team workspace is permanent and takes its tasks and projects with it, so only its owner can do it. Personal workspaces cannot be deleted at all — the account is the workspace.
To leave a team workspace rather than delete it, ask an owner or admin to remove you. Your own data is untouched.
